General Terms and Conditions
• Accommodation will be allocated on a ‘first come, first served’ basis
• If the booking is made before 01 April 2018, the full payment needs to be made within 7 days after filling in the online accommodation form.
• If the booking is made after 01 April 2018, the full payment needs to be made within 3 days after filling in the online accommodation form.
If the payment has not been made before the established deadlines, the Meeting Secretariat will have the right to cancel your booking.
• If there are no available rooms when an accommodation request is received, the PCO will do their best to offer a similar accommodation option.
• The financial responsibility for any additional costs (e.g.: minibar, telephone, photocopy etc.), rests entirely to the participant.
• Any cancellations should take place in writing (via email). The customer cannot derive any rights from a verbal cancellation.
Cancellation on or before 15 April 2018: 100% refund less an administration fee consisting of the amount corresponding to one night's rate
Cancellation after 15 April 2018: No refund available*
*An alternative delegate name may be provided in writing to the Meeting Secretariat and the booking and funds will be allocated accordingly.
• In the event of a “no-show”, the full price for your booking will be retained.
• All bank charges associated with any refund will be the responsibility of the delegate
Change of booking
Any change in booking must be made in writing to the meeting Secretariat and NOT directly to the hotel before 01 May 2018.
Any changes received after 01 May 2018 will be made based on availability.
